Canceling during a payroll run can result in failed direct deposits and unpaid employees. Canceling mid-quarter can create tax filing gaps. Always complete the current payroll cycle and ensure all quarterly taxes are filed before canceling.

Export 7 years of records before canceling

US law requires payroll record retention for 3–7 years depending on the record type. Download all payroll reports, tax filings, employee records, and W-2/1099 forms before your account closes. Go to Reports in Gusto to access everything.

Switching payroll providers from Gusto

The main alternatives to Gusto are Rippling, ADP Run, Paychex Flex, QuickBooks Payroll, and OnPay. When switching, you'll need your Year-to-Date payroll figures, employee W-4s and I-9s, and bank account details. Most providers offer migration support - schedule the switch at the start of a new quarter if possible to simplify tax reporting.

Gusto refund policy

Gusto bills monthly per active employee. Cancellation stops future billing. There are no prorated refunds for the current month. If you believe you were charged for employees no longer with the company, contact Gusto support to reconcile the billing before canceling.
